1. Overview
CloseClock is a software service operated by ADIR SOFTWARE LLC, a Florida limited liability company (“ADIR SOFTWARE,” “we,” “our,” or “us”). This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. By using CloseClock, you agree to the practices described in this policy.
2. Information We Collect
Information you provide
- Real estate agent account data: name, email address, phone number, company/brokerage name, and password (stored as a one-way hash).
- Transaction data: property addresses, closing dates, milestone details, notes, and commission figures you enter for each deal.
- Client data: names, email addresses, and phone numbers of clients you add to deals.
- Seller and agent data: contact information for sellers, buyer agents, inspectors, and title companies you enter per deal.
- Contact form submissions: name, email, and message when you contact us.
- Payment information: if you add a card, the card details are entered directly with our payment processor, Stripe, and never reach our servers. We store only Stripe’s identifiers for your customer record and saved payment method, together with the card brand and last four digits so you can recognize the card on your billing page. We share your name and email address with Stripe to create your customer record.
Information collected automatically
- Usage analytics: pages visited and features used, collected in aggregated and anonymized form via Vercel Analytics and PostHog.
- Log data: IP address, browser type, and device information sent with each request.
- Cookies and session tokens: used to keep you logged in and maintain your session securely.
- Referral and campaign data: when you first arrive at CloseClock we record the website that referred you, the page you landed on, and any campaign parameters contained in the link you followed (for example utm_source or a Google Ads click identifier). This is held in a first-party cookie that expires after 90 days and is readable only by CloseClock. If you go on to create an account, it is stored with that account so we can understand which channels bring agents to us. It contains no personal information, is never shared with advertisers, and is deleted with your account.
3. How We Use Your Information
- To provide, operate, and improve the CloseClock service.
- To send automated milestone reminders and notifications you configure for your deals.
- To generate client portal access links so your clients can view their closing timeline.
- To send post-closing follow-up emails on your behalf (30-, 60-, and 90-day check-ins) — clients may unsubscribe at any time.
- To respond to your support or contact form inquiries.
- To understand how agents discover CloseClock, so we know which channels are worth our effort.
- To detect and prevent fraud, abuse, or unauthorized access.
- To comply with applicable law.
4. How We Share Your Information
We do not sell your personal information. We share information only in the following circumstances:
- With clients you add: your name, phone number, and email are visible to the clients you invite to a deal.
- Service providers: we use the following third-party services to operate CloseClock:
- Stripe — payment processing (card details go directly to Stripe; we never receive or store them)
- Resend — email delivery
- PostHog — product analytics
- Google Maps — address autocomplete
- Supabase (PostgreSQL) — database hosting
- Vercel — application hosting and aggregated traffic analytics
- Legal requirements: if required by law, court order, or to protect our rights, we may disclose information to law enforcement or regulatory authorities.
- Business transfer: if CloseClock is acquired or merges with another entity, your information may be transferred as part of that transaction. We will notify you of any such change.
5. Data Retention
We retain your account and deal data for as long as your account is active. If you request deletion of your account, we will delete your personal data within 30 days, except where we are required by law to retain it longer.
Inactive accounts (no login for 24 months) may be deleted after notice.
6. Security
We implement industry-standard security measures including encrypted data transmission (TLS), hashed passwords, session token security, and access controls. No method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security. We encourage you to use a strong, unique password for your CloseClock account.
7. Your Rights
Depending on where you live, you may have the following rights regarding your personal information:
- Access: request a copy of the data we hold about you.
- Correction: request correction of inaccurate data.
- Deletion: request deletion of your personal data.
- Opt-out of marketing: unsubscribe from follow-up emails at any time using the unsubscribe link in any email or at /unsubscribe.
- Portability: request your data in a portable format.
California residents have additional rights under the CCPA, including the right to know categories of personal information collected and shared. We do not sell personal information as defined by the CCPA.

8. Children's Privacy
CloseClock is not directed to children under 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us and we will delete it promptly.
9. International Users
CloseClock is operated from the United States. If you access the service from outside the United States, your information will be transferred to and processed in the United States. By using CloseClock, you consent to this transfer. We take steps to ensure that information is handled in accordance with this Privacy Policy regardless of where it is processed.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. The “Effective date” at the top of this page reflects the date of the most recent revision. Your continued use of CloseClock after any change constitutes acceptance of the updated policy.
